Meeting Minutes - January 24, 2005


The meeting was called to order at 7:10. Persons in attendance (Tom D, George C, Bob H, Greg B, Bob S, Bill B, Leif E, Jim L, Donna J, Rhonda O)

Treasurer Report/Membership:
$1252.22. $220 in memberships since last meeting. Outgoing expense for the annual website fee with ADDR. We currently have 83 members.
Bob H brought up again the idea to pull in memberships by creating a family rate. Only problem with that, is the membership is tied to the issuance of permission slips and slip must be made out to an individual, not a household.

Jim: our membership base or lack there of is a direct result of our inability to not act/follow up on promises to our members. Rhonda stressed to the board the urgency and responsibility of their committee position and to submit articles for publication in the upcoming newsletter. Jim made a motion that a Board member who misses 3 consecutive meetings without prior notice will be asked to step down. -> table this until annual meeting as it is a bi-law change

Rhonda: would like to add to the ongoing wish list of action items, to create a training manual to be used at Snowmobile Safety programs.
Bob S suggested creating a 10 min video and stated to contact Tim from Fish and Game OHRV because they have video equipment capabilities. Jim made a motion that we extend an invitation to Fish and Game and a member of the NHSA to sit on our board. Tom does not feel we are ready to expand our network because we do not have the level of involvement from our membership. -> table the board position topic to the annual meeting as it is a bi-law change. Bob S said until such time, why not invite them as a guest. Jim modified his motion to notify them of our meeting schedule and extend and open invitation. Motion carried.

Tom asked Chris to give us permission to train via motorized training rig on 5 additional rec rail corridors throughout the state. The addition of these trails will expand our access to points north, south, east and west opposed to just the Rockingham Rail Trail.

Discussion ensued regarding membership deadline in order to accommodate the issuance of permission slips to have them in mushers hands by September 1st.

Website: No Trail conditions posted. Everyone who runs ought to have access to post conditions but why not? Greg: This is a benefit well worth the $10 investment if utilized. Incentive to join, see the benefit. Rhonda agreed in concept of guest vs membership but admit that now the password is a roadblock. Bob S mentioned about Gail using weekly schedule to update every M & TH. This is a tough year weather wise, and yes many mushers are concerned about protecting where they train from other users, but we need to put aside competitive concerns and promote regular trail usage for the benefit of all.

How can we successfully promote ourselves as the New Hampshire source "to go to" vs the NESDC

Rhonda made a motion to open up access to the db to the general public for the balance of this season. Jim second. Motion did not carry.

Discussion: Greg and George asked if we could simply Email the members, remind them of the password and ID and kindly ask if they would report trail conditions.

Bob H hesitant to agree with the motion with only 4 weeks remaining of the race season. Not soon enough to measure response instead, review at year end what worked and what didn't and did this db live up to our promise and expectations.

Jim stated we are asking alot of our volunteers. Should we begin paying the webdesigner in order to keep design and content updated regularly? Rhonda made a motion to inquire of IX whether they have resource and capacity to take on the job and if so, at what cost.

This website is our face to the world.

NHSA trail meeting

The event we are going to award the 2004 certificates. We need to open up the nomination process for the 2005 season.

DRED Website

We need to create a presense. Bob S walked us through the content that is being requested. Send ideas to Bob H he will categorize, edit and forward to Bob S so that a strawman can be available for us to critique at the next meeting.

Sled Dogs on Trail Signs

Clubs have started to contact us looking for signs. If you have any stockpiled in your house, you may be asked to redistribute them to various snowmobile clubs if Tom runs out. Signs have been sent to the Keene Snowriders, Baker River and the Pittsburg Ridgerunners. If you field an inquiry, ask who the trail administrator is. Signs should be delivered to that individual. Donna mentioned that on the Blackwater trail system, each post requires two signs; one facing each direction. So some trail systems may require more signs than others.
